Name the missing record
Start with the invoice, shipment/tracking reference, carrier, destination and requested document. Specify tracking event, delivery photo, signature or receiving acknowledgment; a file called POD may contain different evidence.
The FedEx examples below use U.S. guidance and its stated service/geography limits. They are not rules for truckload, less-than-truckload, every country or every carrier.
Build the shipment crosswalk
Use one row per shipment, with the source of each reference. A similar date or recipient name alone is not a match.
- Link invoice, PO, shipment ID, carrier and destination.
- Add dispatch/packing records and available carrier status; describe what each actually shows.
- Use normal tracking or authorized retrieval, keeping credentials and restricted account data out of the register.
- Record document type, timestamp, visible acknowledgment and file/page.
- Compare the result with the counterparty's current requirement; request the missing record or a customer-approved alternative.
Apply the FedEx examples narrowly
The FedEx U.S. signature-services page directs users to Tracking, Obtain Proof of Delivery, and an authorized account number. A signature image is included when available; leave an unavailable image recorded as unavailable.
The picture-proof page covers residential U.S. and Canada parcel deliveries and delivery attempts. It describes tracking access without an account/login when the shipment does not need a signature. Check whether a photo shows delivery or only an attempt. It does not replace a wholesale freight receiving requirement.
Worked example: acknowledgment missing
Fictional records only. SYN-INV-401 lists 80 cases at USD 45 = USD 3,600. SYN-BOL-401 records the same 80 cases. A fictional carrier status says delivered; recipient acknowledgment is not supplied.
The output links the records to SYN-SHIP-401: dispatch record and carrier status present; recipient acknowledgment missing. Request the precise evidence required by the counterparty. Payment status remains unknown. USD 3,600 is an invoice amount, not an amount established as owed.
Stop at the evidence limit
Packing, tracking, photos and signatures are different records. Do not infer receipt, quantity or condition beyond what they establish. Missing delivery evidence does not establish claim eligibility, a deadline, an overdue invoice or recoverability.
Ask the records owner for the shipment, date, destination and exact missing document; preserve any response that it is unavailable. The customer confirms acceptable alternatives and controls communications. Describe the document gap without tracking details, addresses or financial files in the inquiry; agree secure transfer before assessment.
